Arts in Action Community Charter School opened in Fall 2011 with grades K-5. Arts in Action Community Middle School opened in Fall 2016 and serves grades 6-8 students. We believe that all students deserve access to the arts. JOB DESCRIPTION: The Human Resources Coordinator collaborates with the Human Resources Director and School Directors to ensure that the organization's human resources and other organizational functions are effectively supported. These functions include compliance, recruitment, employee relations, training, and compensation. Additionally, the HR Coordinator supports the Accessible Education team with data and compliance tasks. 

Human Resources Coordinator Job Responsibilities:

  • Serve as a point person for initial human resources requests, including:
    • Clock-in/clock-out issues
    • Information about where to access HR forms and resources
    • General HR questions/requests for information 
    • Supporting with HR office hours
    • Providing training/professional development/guidance
  • Onboarding:
    • Sending new hire announcements to supervisors after the successful completion of employee onboarding
    • Providing school supervisors with the onboarding checklist and ensuring completion of the onboarding checklist.
    • Helping to coordinate/lead new hire-mandated orientation (welcome announcements) and training sessions
    • Overseeing Vector training completion by tracking participation, sending reminders, and generating reports
    • Creating and updating AIA’s staff web profiles
  • Maintaining and updating employee demographic, time, and attendance records, payroll, credentialing and contracts through:
    • Organizing HRIS system training for new and existing employees
    • Scheduling, sending and updating employee compliance reminders on HRIS
    • Sending returning staff offer letters via Docusign
    • Ensure hourly staff schedules meet California’s meal and rest break laws on HRIS and on in-house datasheets
    • Support the process of reviewing, collecting, sending, and clearing hourly staff  timecard errors to meet California’s meal and rest break laws
    • Ensure meal waiver forms are provided and completed as needed
    • Support with payroll corrections/calculations/stipend forms, in addition to datasheets
    • Assist in ensuring the accuracy of the ESSA grid and staffing and budget planning documentation is up to date
    • Support with periodic audits of timecards, salaries, benefits, and employee demographic information
    • Prepare employee leave of absence calendar tracking tools
    • Building out systems for increased compliance
  • Compliance:
    • Support the collection of data and data analysis for the human resources department's needs
    • Assist with the review of HR compliance deadlines and materials
    • Troubleshoot difficulties with the timecard system
    • Complete/assist HR walkthroughs as assigned 
  • Assist with the agency’s public records requests, including coordination and tracking responses
  • Assist in completing and mailing credentialing applications and other EDD correspondence
  • Help ensure Human Resources policies and procedures are being followed
  • Help ensure that the required employee rights postings/documentation posted and accessible on the HR drive
  • Help ensure compliance with HR regulations by conducting investigations and maintaining records
  • School Culture and Leadership
    • Assist with Human Resources and school culture initiatives (including supporting family events) 
    • Support with  staff survey data collection, analysis, and presentations
    • Create the HR quarterly newsletter
    • Assist building out systems for evaluation tracking, management training, and other human resources-related tasks
    • Assist with HR professional development sessions/trainings
    • Assist with the monthly employee wellness day
  • Clerical and School Support:
    • Helping to lead/provide support with data collection, reporting, and analysis
    • Helping to lead/provide support with parent communication and initiatives
  • Accessible Education Department Support (3-10 hours per week):
    • Assist with special education servicing reimbursement programs including LEA BOP,  CYBHI, and SMAA programs
    • Assist with other special education clerical tasks as needed which may include compliance related documentation, special education grant initiatives, and interpretation. 
  • Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

  • 1-3 years of work experience (HR and clerical preferable)
  • AA degree in a related field, such as human resources or business law (preferable)
  • Must be able to work and travel to different school/office sites
  • Strong computer skills required, including Microsoft Office Suite and Google Docs
  • Experience handling and maintaining the security of confidential documents and managing confidential information
  • Strong verbal/written communication skills
  • Strong skills in building rapport, resolving conflicts, and an ethical mindset
  • Strong problem-solving and conflict-resolution skills
  • Being bilingual in English and Spanish is a plus!
  • Strong organizational skills
  • Ability to learn quickly
  • Ability to take initiative and work independently or with minimal supervision
WAGE AND BENEFITS: This is a full-time, 12-month hourly position starting at $25.00-$30.00 annually. Compensation is determined based on years of experience and education units; a competitive benefits package is included.
